So You Think You Know CRM Software?

A year ago if someone asked me if I knew my way around the CRM Software Industry I would have confidently said yes, however, as it turns out the old saying the more you learn the more knowledge you realize you lack, is true. When talking about the CRM Software Industry it is almost impossible to actually say that you know it inside out since there are so many CRM vendors around the world, all developing their technologies at such a rapid pace. As if it wasn’t hard enough for a company to make a decision regarding; what they require, how it can help their business and so on, these technological advancements are always followed with a marketing campaign each speaking of how much this new feature or functionality will help you.

So the question stands at, you think you know CRM Software? This is difficult to answer with all the hype surrounding the industry combined with the relative youth of Web-based CRM and the large number of vendors. It is also difficult to produce a linear comparison since each vendor has their own set of terms and names for features. So where do you begin? You can learn the basics of Web-based CRM Software fairly easily with a quick search on Google, however I would like to mention a few points that are more difficult to uncover; the hidden costs associated with purchasing CRM Software, what to avoid, how your CRM can go beyond simply contact management and where the industry is going.

When a company decides it’s time to make the move to Web-based CRM Software they should first develop a plan on how they expect this new implementation to boost their companies productivity and revenue. The largest roadblock in achieving a fast ROI is all the hidden costs that are not clearly listed on vendor’s web sites. In researching to develop a comparison of some of the major players in the CRM world including Salesforce, Netsuite and Salesboom.com, the majority of my time was spent researching pricing for different platforms, upgrades, implementation, customization and customer support. Salesboom was actually the only one at the time to have a page with their pricing listed clearly.

To just go out and purchase a CRM Edition and think you are done is nowhere near the truth, this is just a base point from which pricing begins. This leads me into what to avoid when seeking your future CRM Software. What you need to look into and ask questions about is; storage limits and the cost of additional storage, maximum number of custom tabs & fields, maximum number of applications you can add, this being particularly relevant for Salesforce, and any other limitation which could later force you to upgrade.

If you have implemented a CRM Software Solution and reached any of these mentioned limitations I’m sure you can vouch for my statement that it comes at a great cost. What is often the case is that the edition a company is currently working with is doing a great job but for example they have reached their storage limits. An edition upgrade for a company with roughly 750 users can amount to around 2 million dollars above what they were already paying. With this upgrade of course comes more features and functionality however they are features and functionality which will not increase your ROI simply because your company doesn’t need them.

Now that the buyers beware and the negatives are out of the way we can focus on the positives. When you implement your new Web-based CRM you have just knocked down all the walls separating your departments or office’s, no matter their location and you did it in real-time. Once up and running your CRM goes far beyond contact management software with vendor’s now integrating front and back office functionality. Netsuite has a strong back office, which makes sense knowing their background in back office ERP solutions; however I find their SFA or front office not to be up to the standards of some others. Salesforce and Salesboom.com both offer a well rounded CRM solution for companies of all sizes, between these two it really comes down to price.

With more than just contact management capabilities CRM Software is a great tool for your; marketing department with in depth campaign and lead management tools, your customer service department since a complete history of all clients and cases are a mouse click away, your back office including inventory, billing & invoicing by taking advantage of real time workflow processes and of course your sales force with features like escalation rules or in more recent times offline and mobile editions.

Today CRM Software vendors are coming out with Offline and Mobile Editions giving new ways to never lose contact with the office. This brings us to the future of Web-based CRM Software, where is it going? Well over the past year we have seen great advancements with the use of AJAX, or as it’s known to the tech world, Asynchronous JavaScript and XML. This code underneath your CRM Software eliminates the need for you to refresh your web browser whenever you make a change. This can be seen in some social networking sites, a popular one being facebook. Here AJAX is used to allow for drag and drop customizations to appearance and the arrangement of applications. The idea is the same with CRM Software, a simple down mouse click and drag will allow you to customize the appearance of your dashboard without an IT department, so you can focus on the information most relevant to you.

How to Choose Your CRM Software

Managing customer relationships is the most daunting task in a business but if done right, will be a very rewarding experience. Just imagine how you can manage a hundred customers in a day, what their purchases are, how are they doing with your business and if they like your products or services. These are very crucial in determining if your customers will leave or stay in your business.

Luckily there’s a business software that can do all that. If your contacts are growing rapidly and you begin to forget important clients, it may be time to invest in a CRM software for your business. CRM or Customer Relationship Management manages your contacts, keep track of your customers, and manage sales or social media profile of your business, and other tools to help deepen your relationship with your customer.

Why invest in a CRM software?
CRM is an automated way to track and maintain client contact data, it is faster, smarter, and more organized than a traditional CRM method and uses the most up-to-date technologies available. The CRM tool can help you set goals, deliver targeted email marketing campaigns, track customer purchases, and take advantage of social media all in one comprehensive report.

Any department in your business can take advantage of CRM because one CRM is synchronized to an entire organization making sharing, collaboration, and decision-making a lot faster and more accurate than before.

For instance, if you want to keep track of customer information, contracts, invoices, etc. A CRM software is very useful because all these information are in a single place, readily available whenever needed.

Additionally, CRM can run a personalize email to different customer types. This is not possible without a CRM software and you’ll end up sending a wrong marketing email to a wrong customer.

CRM offers a lot of functionality and will save you a lot of time and money for personnel. There are many ways a CRM software can help your business but the most important reason you need one is better customer management, fewer loss, and bigger profits.

How to choose the right CRM for your business?
When choosing a CRM for your business, you need to get a package that is fit for the size of your company. The most basic CRM lets you manage contacts under a shared database. Advanced CRM has sales tracking or opportunity tracking service which lets you target interested customers. Match the capabilities of the software with your business goals.

The first thing you have to think about is how you can manage a server for business. Do you want someone to manage your server? A shared hosting server for business might be possible. It is inexpensive and requires less IT resources to set up and manage, so you can get started immediately. However, for a more customized approach, hosting CRM in your own server gives you control over your data and provides the highest level of security and integration with other business applications but requires IT resources to set up and manage a server.

1. Choose a usable CRM
How can you implement CRM in your business if you don’t know how to use it? Pay attention to how you can easily navigate through different tasks and how easy it is to find what you are looking for. If your employees cannot navigate through the software easily, you might be using a wrong CRM.

It may be tempting to focus more on features instead of great UI but features won’t be effective if employees can’t use them.

2. Choose a CRM with great integration
A CRM that integrate invoice, accounting, helpdesk, marketing, etc in one place. Take a look at the solution integrations before you buy.

3. Choose a CRM that fits your process
Sort your internal workflows before choosing a CRM then look for a CRM to match with it. It is a total waste of time if you have bought a software but you don’t know what to do with it.

4. Choose a CRM that is aligned with SMBs
If large companies uses it, you probably don’t want to. It is because most companies claims that they are for SMBs but the truth is they are geared on focusing more on larger companies than you. Research the company and ensure that they are committed to SMBs through client testimonials, company reviews, etc.

5. Choose a well-supported CRM
Don’t always expect that your CRM won’t have any problems. If there comes a time it happens, who do you turn to? The company should have support for small business CRM. Check out their support resources and see if they are quick to respond, have active user forums, and has large help articles so problems can easily be solved whenever one arises.

Choosing a CRM is a difficult task, but there will be one for you. Follow these tips and you’ll have the best CRM for your business in no time.

ERP Software Cost – Direct And Indirect Costs

ERP software cost includes all the direct and indirect costs incurred, from purchasing the software till implementation process is completely over. Some costs are clearly evident in this process while some are silent or hidden. Generally an incomplete analysis of ERP cost would just include the expenses to be made in purchasing of software and hardware whereas total cost of ownership of ERP goes far beyond than just these.

By a survey conducted way back in 2002 it was estimated that an implementation of ERP on an average cost $15 Million ranging from $0.5 Million to $300 Million, but it is quite an old estimate, times have changed a lot since then and there surely would be major change in the average cost of implementation. However, the factors affecting the cost have not changed and more or less remains same as they were right at the beginning. The cost of purchasing the software and cost of installing the hardware necessary for running the ERP are two basic cost centers involved with ERP ownership. Apart from the purchasing cost the cost involved in making the system run in the form of manpower, system software, purchase of software for security features and checking third party intrusion, license renewal fees etc should also be taken into account.

Implementation process involves lots of activities and these days most of them are preferred to be done by taking help of external consultants like functional analysis of the company to prepare ‘as is’ document. Similarly, for technical analysis and GAP analysis services of experts or agencies are availed to get the best output and independent opinion. These services incur costs and increase total cost of ownership of the ERP. Indirect cost in these activities are those man hours which have been invested by the in-house staff for getting these activities done, these costs are ignored most of the times, but have crucial impact on total cost of ERP implementation.

To provide sufficient training, companies need to invest decent amount of money firstly in hiring trainers or paying the consultants imparting training to handle the ERP, hiring technical staff to support the ERP and training them according to the software and hiring or developing existing managers as ERP consultants for future needs. All of these add up to the total cost of ERP software.

Cost of tools and software required for integration with external entities, for optimum utilization of the ERP and for integration with present system also cost and these costs vary according to the scope of implementation and ERP software itself. Some ERP software may need lot of these tools and software and some may not.

Data conversion is another activity that involves cost depending upon the nature of the ERP and the format and media on which old data has been stored. Actual cost of data conversion can be accessed only by putting together all of these factors and sometimes it can be quite high. Testing of ERP its components, performance and user acceptance is a compulsory process which has to be conducted before going live and this activity also incurs cost on the company to increase total ownership cost of the ERP. Some companies may spend more money on one process and another may spend less but for calculating actual and realistic cost of ownership of ERP all of these cost centers are needed to be included.

Choosing Small Business Accounting Software

If manual bookkeeping isn’t enough for your business, it’s time to choose the best small business accounting software. To keep the various government agencies happy, you need records and you have to furnish reports. Filling out government forms isn’t very productive. But actually some accounting work is productive.

The right financial accounting software can help you as a business owner or manager to make better decisions. Up-to-date information that’s accurate and in a form that’s easy to understand may be the difference in success and failure. But how do you choose software that will help your company without being to costly?

The first step to choosing the right software is determining what you need from an accounting package. Most every company requires the core accounting functions. That would include the general ledger plus bank reconciliation, accounts receivable and payable. Any accounting software will include those, but you may need much more.

For example, even a small construction company needs job costing records tied to the accounts receivable, cash and ledger systems. Whatever your industry, make sure any package you look at can handle your special needs.

Often free accounting software may be just right for a home based business. Several companies offer free software with all the basic functions. Then you can upgrade to a more professional system as your needs grow. Beware of free software though where there is no upgrade capability and no support. You can very easily get stuck and lose data and realize you got what you paid for … nothing or worse.

Several out-of-the-box software packages offer very sophisticated software that can handle most company needs. Look at Peachtree, Quicken and Microsoft for professional accounting software. These companies have many choices for different size companies and for specific industries.

Larger companies may need custom software for very special accounting needs. That will only be true for larger companies, since the major small business accounting software companies probably have just what you need ready to go and already proven by many other companies.

If you know what you need from an accounting system, the hardest part of the selection process is done. Very often small businesses can quickly choose from one of the two or three top software companies. They probably already have software that will do the job for you.

Accounting Software – Things to Consider Before Getting Accounting Software

Accounting software is something that businesses will need at some point of time. This is because good software can help track important areas in a company like costs, sales, and payroll. When your company grows, these tasks will be too tedious for you to do it manually. This is when accounting software comes in handy.

However, not all businesses need accounting software. If your total company size is less than 10 people, you probably can do without. In this article, let me share with you some tips so that you will know whether you really need to buy accounting software:

The first thing that you need to consider before buying one is to identify what do you need it for. Do you need it for tracking and issuing payroll? Most accounting software perform basic functions such as payroll tracking, accounts receivable and payable, etc. So do spend some time to identify the needs of your business before buying one.

Next thing to consider is that when you buy accounting software, will it really save you cost and time? If your total company size is less than 10, maybe it makes more sense for you to do by using some free tools like Excel Sheet to track the numbers. If you have an accounting staff, you need to calculate how much will you save in staff cost after you have purchased the software? These are some of the questions that you need to answer first before buying one.

If you have decided to buy one, the next step is to choose the right accounting software to buy. One thing to note is to find out is there any support available from the software vendor? Are there courses available to teach your staff to use the software? If the software vendor does not have training courses, find out from them if they have training materials like whitepapers and videos that you can access online for learning.

When your business grows, you definitely need accounting software with more features. So find out from the vendor whether the software is able to be upgraded when needed. You will not want to spend a huge sum of money to buy new software when your business needs to upgrade it.

Last but not least, remember that your accounting software is a powerful tool if you know how to make full use of it. When you know how to fully utilize it, it can help improve efficiency and helps to save time and money for your company.

The Benefits of Church Management Software

A church management software can solve a variety of problems. It is a time-saver. It is an organizational tool. It keeps track of people skills. It keeps track of the church finances. It is a communication tool. Mostly, it can add integrity to the activities of the church. Managing people’s needs and expectations can solidify all the activities done by a church.

The key components of a good church management program are membership management, skills management, communication, accounting, contributions, and reporting.

First, let’s look at the membership and skills management. How useful do the people in a church feel? Are they being called upon to serve when needs arise? One way to involve church members is to ask them what areas of service they feel comfortable doing. Having a record of skills and interest is a great way to get people involved as needs arise. A good church management software will have an easy-to-use membership skills module for tracking the interests of each member.

Next, it is important to be able to communicate with the members. An integrated church management software will provide a way to contact members through several mediums. Beyond that, having a direct link to email or other online communication resources benefits the church greatly. Having the ability to create phone groups or email groups based on skills or needs is a great feature.

Church accounting systems have great value. A dual-entry accounting system adds integrity to a church’s finances and reporting. The learning curve is a little steeper for a dual-entry accounting system, but the reward is being able to produce an auditable report that insures proper use of the church money. Recording contributions and providing individual reports for tax purposes is another key element in church management software.

Report generation is a large area, and it encompasses all of the other areas. Membership reporting can include attendance, scheduling, scheduling regular email communication, and having different levels of detail available for different audiences.

Reports for church accounting include budgeting reports, financial analysis reports, accounts payable and accounts receivable, and annual reports for the congregation. Contribution reports include tax reports to individuals, contribution trends, pledges and fulfillment, and envelop numbering.

PowerChurch Plus church management software is one of a few fully integrated church management software packages available. It can be run on an individual computer, an internal network, or on a server for churches to access via a client software. Some improvements to the software could include having a true cloud-based application, that can be accessed through a web browser instead of a client software. Rewriting the software in a web-based computer language, such as java could also improve its usefulness for many years to come.

Finding the Right Property Management Software

With the rapid growth of technology, software has made many things easier for property managers. Property managers already have a lot going on with their associations. The last thing they need to worry about is searching through their computer to find that one spreadsheet or a file folder to find that one vendor contract that can’t seem to locate.

While generic accounting programs have their place, they can be very burdensome for managers. Searching through files and spreadsheets to get information wastes valuable time. Today, there are software solutions in place to help managers streamline their daily activities and accounting operations. Having a software system like is a MUST for any company to be able to keep up with their competition. There are several things to consider when looking for software.

Accounting – this is a vital piece of the puzzle. The ideal accounting system will adhere to GAAP (Generally Accepted Accounting Principles) and the practice of accrual accounting. The software must also be able to produce financial statements with ease. Although many software programs offer options for cash basis accounting, it’s important to note that accrual is the only GAAP preferred method. Accrual accounting also offers many advantages to cash basis and allows homeowners associations to see the “bigger picture” when it comes to their financial health.

Bank integration – Modern banking allows people to take advantage of ACH / Direct Debit and Lockbox services. The ideal software will also support these features to help your company automate the accounts receivable process. Does your accounting software adhere to NACHA standards and produce ACH files that can be uploaded directly to your bank? Can your software support lockbox and download lockbox posting files from the bank?

Management Activities – It’s easy to get overwhelmed when trying to track violations, maintenance issues, delinquent accounts, architectural requests. These are all basic day-to-day tasks in the management industry, but it becomes very difficult when all of this information is spread across various spreadsheets and software programs. Your property management software solution must be able to support all of these functions easily and keep your information organized in a user friendly manner.

User Friendliness – This is very important for management companies. While there are many different programs on the market today, many of them have a steep learning curve which translates into higher support costs and longer implementation times. Some software companies require their “specialists” to fly out for training and installation, all at the expense of the new client. Is your new system easy to setup? Is it easy to learn and easy to use? Talk to your software company about these questions and request a demo trial of the software. If the demo seems complicated, the “real” version won’t be any different.

There are many factors that go into finding the right software solution. It’s important to review your needs as a management company to determine the best fit. However, the four points above are very important items to consider during your review process.

Condo Manager has been providing cutting edge technology solutions for management companies and homeowners associations for 20 years. David Miller has served a leading role on the Condo Manager team and brings a lot knowledge with him. With a background in information systems and extensive experience in the association management industry, David’s expertise has helped hundreds of management companies and self managed HOA/condo associations implement cutting edge solutions for their offices.
